Defining your Business Process for Scheduling Work is based on the Stage 3 – Scheduling from the Project Management Getting Started blog article.
“Stage 3 – Scheduling Now we are ready to start the Scheduling generating the Tasks Assignments, Work Orders and Schedule. You may want to utilize the “Chunking Method” – arranging the Project in little chunks of information which will help you see the big picture better and organize the installation. For example look at the Items within the project grouping them By Phase, then By Zone/Discipline and then By Location. This helps to determine the “Best Fit” Resource to complete successfully and on-time. Another method is to “manager your days as your weeks and months will be managed automatically” – looking at the individual items will help the project to be successful.”
Within ePonti there are 2 ways of assigning work – Scheduling or Work Orders. The difference is a Work Order assigns work for a specific Day as in a Scheduling there are multiple Daily Work Orders providing the ability for a User post their completed Tasks for a specific Daily Work Order. For example in the Pre Wire Stage of the Project you would utilize Scheduling and for the Finish Stage utilize Work Orders.
Scheduling – is the Process of selecting Tasks to be completed over a period of days along with multiple Resources which then determines the number of Daily Schedule Work Orders required to successfully completing the selected Tasks. This provides a Schedule for the selected Resources where they select from the list of Tasks and post to their Daily Schedule Work Order marking as completed.
In this article we are go through the process of Scheduling – there is another describing the Work Order Process.
Creating the Schedules
Once inside ePonti you access the Project Tasks View where you are able to filter by various means to display a list of Tasks you are ready to Schedule. The process now is to select the Starting Date and Resources then to begin the assigning part ePonti opens a window displaying the selected Resources and the Estimated Hours and Number of Days based on the select Tasks. If this looks correct then run the final part creating the Scheduled Work Orders. After posting these new Work Orders to the Calendar it sends out E-Mail notifications to the Resources.
Fulfilling Schedule
Now it is the Resources responsibility to fulfill their Scheduled Work Orders. By simply opening their Calendar the Resource opens their Schedule Work Order next they will need to include the Tasks they completed for the day then update their Actual Hours, Date, Status, Cost Code, and Pay Type.
